This Privacy Policy applies to NARRATIVE INTELLIGENCE SRL ('Narrative Intelligence', 'we', 'us', or 'our') and governs the collection, use, and disclosure of personal data in connection with all services provided by us, including media monitoring, intelligence reporting, and analytical deliverables (collectively, the 'Services'), as well as all communications with individuals through written or oral means, such as email or phone.
This Privacy Policy ('Policy') describes the information that we gather in the course of providing the Services, how we use and disclose such information, and the steps we take to protect such information.
By engaging with Narrative Intelligence or by purchasing or using the Services, you accept the privacy practices described in this Policy.
This Policy is incorporated into, and is subject to, the Terms of Service. Capitalised terms used but not defined in this Policy have the meaning given to them in the Terms of Service.
01 The Information we collect
We collect different types of information in the course of providing the Services. The legal bases for Narrative Intelligence's processing of personal data are primarily that the processing is necessary for providing the Services in accordance with our Terms of Service and that the processing is carried out in Narrative Intelligence's legitimate interests, which are further explained in section 2 of this Policy ('How We Use the Information We Collect'). We may also process data upon your consent, asking for it as appropriate.
1.1 Client-provided information
When you engage with the Services, as a client or authorised representative, you may provide, and we may collect, personal data. Examples of personal data include first name, last name, email address, job title, and organisation name. Personal data also includes other information, such as geographic preferences or areas of interest, when any such information is linked to information that identifies a specific individual.
You may provide us with personal data in various ways, for example when you engage our Services, exchange briefs or instructions with our team, or contact us for support-related purposes.
1.2 Information relating to third parties in clients briefs
Clients may share information about third parties (including individuals, organisations, or public figures) as part of the briefs, instructions, or context they provide to Narrative Intelligence in connection with the Services.
Narrative Intelligence has no direct relationship with such third parties and processes such information solely on behalf of and at the direction of the client. Each client is responsible for ensuring that any such information is shared in compliance with applicable data protection laws.
1.3 Information collected through third-party platforms
In delivering the Services, Narrative Intelligence makes use of third-party platforms, including media monitoring tools, social listening platforms, data aggregators, and other technology services.
These platforms may collect, index, and process publicly available information, including mentions of individuals and organisations in media and online sources.
Narrative Intelligence accesses this information through licensed or publicly available interfaces solely for the purpose of producing analytical deliverables for clients.
We do not control the data collection or processing practices of third-party platforms. We encourage clients to review the privacy policies of relevant third-party providers.
1.4 Communications data
We may collect and retain information from communications between you and Narrative Intelligence, including emails, written briefs, and other correspondence, for the purpose of delivering the Services, managing the engagement, and maintaining records of instructions and deliverables.
02 How we use the information we collect
We use the information we collect in a variety of ways in providing the Services and operating our business, including the following:
2.1 Service delivery
We use the information to deliver, manage, and improve the Services, to produce reports, briefings, and other analytical outputs requested by clients, and to respond to queries and provide support.
2.2 Service Improvement
We may use aggregated and anonymised information, excluding any identifiable client or third-party data, to understand usage patterns, improve our analytical methodologies, and develop new service offerings.
2.3 Communications
We may use a client's contact information to:
- Communicate regarding ongoing engagements, deliverables, and administrative matters;
- Send updates on service offerings, where the client has not opted out of such communications.
You may opt out of commercial communications at any time as described in section 4.3 of this Policy.
2.4 Legal and compliance purposes
We may use or retain information as necessary to comply with legal obligations, resolve disputes, enforce our agreements, or protect the rights, property, or safety of Narrative Intelligence, our clients, or others.
03 To whom we disclose information
Except as described in this Policy, we do not disclose personal data or client information to third parties without the consent of the applicable client. We may disclose information in the following circumstances:
3.1 Third-party service providers
We work with third-party service providers who support the delivery of the Services, including media monitoring platforms, data aggregators, cloud storage providers, and communication tools. These parties may have access to personal data or client information as part of providing those services on our behalf. We limit the information provided to what is reasonably necessary for them to perform their functions, and our agreements with them require them to maintain appropriate confidentiality and data protection standards.
3.2 Law enforcement, legal process, and compliance
We may disclose personal data or other information if required to do so by law, or in the good-faith belief that such action is necessary to comply with applicable laws, respond to a valid court order, judicial or other government subpoena or warrant, or otherwise cooperate with law enforcement or other governmental authorities.
We also reserve the right to disclose information that we believe, in good faith, is appropriate or necessary to:
- Take precautions against liability;
- Protect ourselves or others from fraudulent, abusive, or unlawful uses or activity;
- Investigate and defend ourselves against any third-party claims or allegations;

- Protect our property or other legal rights, enforce our contracts, or protect the rights, property, or safety of others.
04 Your choices
4.1 Access, correction, and deletion
We respect your privacy rights and provide you with reasonable access to the Personal Data that you may have provided in connection with the Services. If you wish to access, amend, or request the deletion or transfer of any Personal Data we hold about you, you may contact us at contact@perceptix.com. At your request, we will have any reference to you deleted or blocked in our records, subject to any legal obligations to retain such information.
Please note that we may retain certain information as necessary to comply with legal obligations, resolve disputes, enforce our agreements, or where we otherwise have a legitimate reason to do so.
With respect to information relating to third parties included in client briefs or instructions, any request for access, correction, or deletion should be directed to the client who provided such information to us. If a client requests that we delete such information, we will respond to the request within 30 days.
4.2 Opting out of commercial communications
If you receive commercial communications from us, you may unsubscribe at any time by contacting us at contact@perceptix.com or by following the unsubscribe instructions included in the relevant communication. Please note that even if you opt out of commercial communications, you will continue to receive administrative messages related to the Services.
05 Third-party platforms and services
The Services are delivered with the assistance of third-party platforms. Any information processed through such platforms is subject to those platforms' own privacy policies and practices. Narrative Intelligence is not responsible for the privacy or security practices of third-party platforms and encourages clients to review the relevant privacy policies before providing information to or through those platforms.
Third-party platforms currently used in the delivery of the Services may include, but are not limited to, media monitoring tools, social listening platforms, data aggregators, and cloud-based productivity and communication tools. A list of key third-party platforms can be provided upon written request.
06 Data security
We maintain reasonable administrative, physical, and technical safeguards to protect the security, confidentiality, and integrity of personal data and client information. These measures include, but are not limited to, access controls, password protection, and encryption of data during transmission.
Access to personal data and client information is restricted to personnel who require it for the purpose of delivering the Services, and is subject to confidentiality obligations.
If you believe that your personal data has been compromised, please contact us immediately at contact@perceptix.com. If we become aware of a security breach affecting personal data, we will notify you and the relevant authorities in accordance with applicable law.
6.1 Personal data collection and storage
Personal data collected in connection with client engagements, including contact details such as name and email address, is stored securely and used solely for the purposes described in this Policy. Personal data is stored with reputable third-party cloud service providers operating within or offering adequate data protection standards for transfers from the European Economic Area.
6.2 Client information and briefing materials
Briefs, instructions, and other materials provided by clients in connection with the Services are stored securely and accessed only by personnel directly involved in the relevant engagement. Such materials are not shared with third parties except as described in section 3 of this Policy.
07 Data retention
We retain personal data and client information for as long as is necessary to fulfil the purposes for which it was collected, including the duration of the engagement and any applicable legal, contractual, or archival obligations.
Following the end of an engagement:
- Client contact information and engagement records may be retained for a period of up to three (3) years for administrative and legal purposes, unless a deletion request is received;
- Briefing materials and deliverables may be retained for archival and reference purposes unless the client requests their deletion in writing.
We will delete Personal Data or client information upon written request, subject to any legal obligations to retain such information.
08 Data transfer
We are based in Romania and operate within the European Union. Personal data and client information may be transferred to or processed by Third-party platforms operating in other countries, including countries outside the European Economic Area. Where such transfers occur, we take reasonable steps to ensure that appropriate safeguards are in place in accordance with applicable data protection law, including the GDPR.
We will comply with GDPR requirements providing adequate protection for any transfer of personal data from the European Economic Area to third countries.
09 Data controller and data processor
For personal data provided directly by clients in connection with the Services (such as contact details and communication records), NARRATIVE INTELLIGENCE SRL acts as the data controller under the GDPR, as it determines the purposes and means of processing such data.
With respect to any Personal Data relating to third parties that clients include in briefs, instructions, or other materials provided to Narrative Intelligence for the purpose of producing analytical deliverables, Narrative Intelligence acts as a data processor on behalf of the client. In this capacity, Narrative Intelligence processes such information solely in accordance with the client's instructions and does not independently determine the purposes or means of its processing.
The client is the data controller for any personal data relating to third parties that it provides to Narrative Intelligence. The client is responsible for ensuring that such data is collected and shared in compliance with applicable data protection laws, including obtaining any necessary consents or relying on an appropriate legal basis.
Narrative Intelligence is not responsible for the content, accuracy, or lawfulness of personal data provided to it by clients, nor for the manner in which clients have collected or otherwise processed such information prior to sharing it with Narrative Intelligence.
10 Changes and updates to this Policy
Please revisit this Policy periodically to stay informed of any changes, which we may update from time to time. If we modify the Policy, we will notify you by email or in writing and will indicate the date of the latest revision. Your continued use of the Services after the revised Policy has become effective indicates that you have read, understood, and agreed to the current version of the Policy.
